NW NSW Chapter Formation Request 30 March 2008

Hi Terry,

Re meeting held on Sunday in Tamworth, it was a great success and attended by all MMAA members known to us in this area, with the exception to John Ludewig who unfortunately had to work on the day.

Due to the enthusiasm and commitment of those present we have been able to form a chapter to service the North West portion of N.S.W. The meeting was conducted in an orderly and professional manner and a hard copy of the minutes of that meeting have been sent to you by mail for consideration for approval.

Attached is a photo of those present on the day and are all members of the MMAA. From left to right: Tony & Jenny Cross, Sandra & Rene Markerink, Peter & Debbie Smith and Wendy & Trevor Capararo.

A short ride to a small village at the top of the range for lunch was participated in and a more pleasant way to finish a day could not be found with members basking in the autumn sun on the lawn reluctant to venture home.

We look forward to hearing from you with favorable news of our approval and thank you for your guidance and support that has encouraged us to formalize what we have enjoyed doing for some years.

MMAA National AGM - Bombala, NSW. Jan 2005


Minutes of the Masonic Motorcycle Association of Australia Inc (MMAA)
National Rally held on Saturday 22 January 2005



The meeting was held in the South of the Mountain Lodge 190, Bombala, and commenced at 1.00pm.

Treasurers Report:

In the absence of David Anthony, Michael Lampadarios reported an income of approximately $2,150.00 which comprised membership, badges and other regalia monies. The bank balance as at 22/1/05 was reported as $895.00. The expenditure (the difference of the two) comprised badges, T shirts (old) and belt buckles. Michael also advised that an order for metal badges with square & compass had been placed but not yet received.

(In the absence of accurate figures the expenditure was estimated at $1,910.00 taking into account the bank balance as at 22/1/04 of $655.00….Secretary)

Michael advised that Membership Renewal Forms were sent via email however some had come back due to incorrect email addresses. Michael stressed it was important that the Membership Renewal Forms reflect the current address details for all renewing members to ensure an accurate database of members.

Grant Bates suggested that the MMAA Victorian Chapter cancel their Incorporation status and advised that the Victorian Chapter would investigate this.

Grant also suggested a Membership Officer be elected and also that every Chapter collects their own funds for on forwarding.

“That the National Secretary be responsible for maintaining the records of all members and receiving the Annual Membership Fee direct from members by the invoicing of same. Chapters were to make their own arrangements to collect any other nominated fee above the Annual Membership Fee.” CARRIED

Those Chapters who wished to collect their own members’ $25.00 Annual Membership Fee and pass on directly to the National Secretary in one cheque were invited to do so.

Presidents Reports:

National President:
Michael Lampadarios reported another successful year with a few new members.

Michael asked for recruiting strategies other than via the internet. Paul Gimbert suggested the ideas of Geoff Greaves re promotion and this was discussed.

Michael also suggested two areas of membership recruitment; Ausport and Motorcycle Council of NSW Inc. Letters received from both bodies were tabled and passed around to all members present.

Greg Marshall advised that the Victorian Masonic Motorcycle Association (VMMA) were aggressive by badgering prospective members and that was their main form of recruitment.

Michael advised that the MMAA National Website was linked to Masons Connect, Freemasons Motorcycle Club Netherlands, Bikers Den and virtually any motor cycle Website (even VMMA). Michael also advised that the Website was also linked with the Masonic Association of Canada and a new Chapter had been formed there consisting 20 members.

Allan Talbot advised that the Website did not appear to be updated on a regular basis. Michael responded that the Photo Gallery was very small (only 10mb) and was not updated on a regular basis but that Newsletters, Calendar Dates and Contacts were. Michael also advised that as Websites cost money it was important that the Association be financial.

Bombala President:

Paul Gimbert reported that only one ride had been organised and that Bombala membership totalled 13.

Paul advised that the Bombala Chapter were meeting monthly and had experienced difficulty in funding.

Paul wished to put an emphasis on Associate Member recruiting as some members were located some distance away which made it hard for attendance.

Paul felt 2005 would be a better year with more rides organised. Paul confirmed that members were consolidated and keeping strong as a Chapter.

Paul advised a ride calendar would be produced for all MMAA members.

Paul also advised that Bombala was trying to visit other Lodges and had adopted a “dress code” of blue shirt; string tie; black vest; (with badges/patches) and black pants. He advised it was hard to regulate a “dress code” for Associate Members.

Michael Lampadarios suggested that in his experience the white shirt was more acceptable for Lodge visits.

Greg Marshall advised that the VMMA had approached Grand Lodge of Victoria to get a ruling on a visiting “dress code”. Grand Lodge had advised it considered the white shirt; bow tie; black pants; (leather/jeans) and vest acceptable. Greg also advised the VMMA had a Travelling Warrant and were also performing Installations.

General Business:

Cliff Hobson advised that MMAA shirts and merchandise were on display.

Members were advised that future rides were being planned for March (to Young) and the Nabia Motorcycle Museum (on a date to be advised). The Anzac Day weekend was suggested for the Nabia Motorcycle Museum ride. The cost of the Nabia ride was $20.00 per head which included a BBQ dinner & BBQ breakfast together with admission to the museum and private collection. A ride to Coffs Harbour for Keith Reynolds Installation was also planned for the end of May.

Michael Lampadarios asked Chapters if they were happy to issue membership cards and this received a mixed response.

Michael also suggested a ride fee of $5.00 for all participants.

Michael suggested purchasing a Membership Program to monitor members’ details. It was recommended that free Databases be used first before spending any MMAA funds.

Wayne Douch advised that a dinner was organised for Sunday 23 January 2005 at the local Pizza restaurant at the conclusion of the National Rally Weekend and asked for an indication of those who would be able to attend.

Wayne also advised that any photos taken would be burned onto a CD and given to members on Sunday.

Cliff Hobson suggested a proper Agenda be sent out prior to the next AGM 2006 together with a
Treasurers Report and Nomination Forms for 2006 Office Bearers attached.

Presidents Reports:
National President:
Cliff Hobson reported on the issues of Incorporation and the investigation by himself together with Allan Mason. He advised the name Masonic Motorcycle Association of Australia Inc had been reserved with the NSW Department of Fair Trading. Cliff advised he now had the code for the Website and would be working to update it. He also advised that even though there had been a net loss in membership he hoped the Association would start gaining new members. Cliff felt the MMAA had started to make good process with the teething issues that had hampered the National Body since its inception.

Bombala President:
Paul Gimbert advised that they had held a meeting before the AGM and invited prospective non members. Paul advised that some prospective members questioned what advantages the MMAA had to offer them. Paul felt it was a hard question to answer but advised there was still interest there.
Central Coast/Sydney President:
Cliff Hobson reported similar problems to Paul Gimbert with regard to MMAA membership. CC/S had a core number of members who were still meeting and the CC/S were continuing to support “Camp Breakaway” annually. CC/S had recently organised a ride to Tamworth to attend a lodge meeting and to meet some one the new members. Cliff advised that through money raised in the Chapter they were able to purchase tote bags for the disabled persons that they support (with their names painted on them),. Cliff went on to say that over $1,000 had been raised in combination with Lodge Morning Star for a local disabled girl. Cliff suggested that perhaps they should visit other Motorcycle Clubs like Ulysses to create an interest. Cliff felt the potential was there.
Victoria President:
Grant Bates advised that the year had been quiet with irregular meetings. Grant advised that Victoria had a wide range of members with regard to locations. Terry Webster reported that Community Connections were providing full computer systems to disadvantaged families with dial up internet connection for their use (free of charge). He advised computers had been donated from companies which also promoted MMAA in the Craft and funds had also been donated by the Craft. Terry advised that $510.00 had been donated to Community Connections by the combined effort of Werribee Lodge raising $255.00 and the Victoria Chapter matching this figure. Terry went on to say that the VMMA was a bike Association that was very active in Victoria and received a lot of press from the Victoria Freemasonry Magazine. This publicity contributed to them thriving whereas the Victoria Chapter of the MMAA was not. The VMMA are known to visit Lodges en-masse.
General Business:
It was felt that it was up to the individual members to choose whether they wore their badges or not. Terry Webster sends out samples of “set up” of badges to all new members. It was suggested if members chose not to wear badges, that they wore an MMAA polo shirt or cap instead. Members were reminded that Back Patches were prohibited by the MMAA.

Cliff stated that he felt that the position of Sergeant at Arms was not really required and asked for feedback on this suggestion. Wendy Capararo suggested that the Sergeant At Arms was a role that was more relevant to the Back Patch Clubs (eg Rebels, Jokers). Cliff related a conversation with several CC/S riders who said that if had to be shepherded as they rode, they would prefer not to ride. All agreed that riders wanted to ride safely and were in agreement with Roger Coates that the staggered formation was the best recommendation. Much discussion ensued with the validity of the role and a recommendation was made for a name change to National Road Captain.

Business Arising from Minutes:
Cliff Hobson advised that he, together with Allan Mason had re-worked a Constitution that was a modified version of the one used by Ulysses. Terry Webster advised that the National Chapter should be incorporated. Grant Bates advised that the general feeling in the Victoria Chapter was that the Chapter did not want to relinquish their Incorporation status. Victoria would relinquish their Incorporation only if NSW were unable to use the name reserved.
Cliff invited feedback from members regarding the contents of the Draft Constitution:
1. Alison Gimbert queried why the financial year was changed after being re-adjusted last year to 30th June.
Cliff advised the legal requirement of holding an AGM within 5 months after the end of the financial year meant the MMAA had until March the following year to hold the AGM.
Terry Webster advised that in Victoria organisations could get special dispensation for extra time but was not sure of the NSW legislation. Suggested Allan Mason investigate.
2. Alison Gimbert queried the Membership Clause 6.7 regarding “Mason for life”.

“That the second sentence in Clause 6.7 be removed.”

3. Paul Gimbert spoke of the way Michael Lampadarios had set up the MMAA with the Grand Lodge and felt this was not reflected in the Constitution.
Cliff Hobson commented that Clause 2 covered this aspect.
4. Alison Gimbert queried the fees of $20.00 and joining fee $5.00 (See point “8” below).

5. Alison Gimbert queried the Draft Constitution had not noted anywhere that the President or Vice President could only be a Mason.

“That the Interpretation Clause be re-worded with regard to the Associate Member as eligible to be elected to all offices other than President and Vice President.” CARRIED
6. Greg Marshall queried the 2 months lapse of membership clause
It was agreed that Clause 11(d) be reworded from “2 months” to “6 months” and that all members must be financial to vote at an AGM or be elected to office.
7. Terry Webster queried the reference to Associate Members as Victoria had family (children) members who were regarded as Associate Members with no voting rights.
It was agreed to delete Clause 6(h) re motorcycle licence.
8. Terry Webster queried the subscriptions. He advised that the Victoria Chapter members paid $25.00 direct to Victoria Chapter and these contributions enabled the Chapter to do things in the community. He advised to give the whole amount to the National Body would be wrong but believed a percentage of fees should be handed to the National Body.

“That each Chapter open their own bank account for membership fees to be paid into and each Chapter pay a percentage (capitation fee) to the National Body. An amount would be decided upon to be reimbursed to both Bombala and CC/S to cover previous years.”

Cliff Hobson advised that the Chapters had approval of members in the Draft Constitution.

Cliff advised that all changes to the Draft Constitution would be made and circulated to the National Body Executive Committee for ratification. Cliff confirmed the Constitution would be circulated to all members before adoption. Cliff advised any local Chapter by-laws would need to be ratified by the National Body.
Terry Webster stated that Victoria would send their Constitution to the National Body for ratification.

1. Welcome by Cliff Hobson. Numbers down on last year, Bombala only increase. Not sure how we can attract more members.

Changing of Constitution, submitted and passed for incorporation by Department of Fair Trading N.S.W.

Four resignations for the year were read out and accepted.

8. Cliff Hobson –noted resignations, lack of interest up to us to address the
problem.

9. Bombala Chapter – Paul Gimbert.
Called meeting of possible interested parties, lot came, no interest, why pay
fees when they can go for a ride anytime they like. No commitment.

10. Victorian Chapter – Grant Bates.
Had several rides, and café meetings too. Gave out $1500 to different bodies
as donations. Received $1,000 from G.L. to assist with the “Community
Connections Program” where Vic Chapter has given out 84 complete computers systems
to deserving people and organisations.

11. Sydney Chapter – Basil Freedman.
Enthusiasm lacking in Sydney chapter, 9 members. Says Trevor has members
in Tamworth, suggests they meet half way with Central Coast and NSW
chapters and see how it goes as a first step towards builing interest.

12. Central Coast – Cliff Hobson.
A general lack of interest and ride participants have declined over the past
year.

13. Mark Walker – we need more members to get more numbers on rides.

14. Grant Bates – keep in contact with each other.

15. Paul Gimbert – set ride itinerary each year, some will make it some won’t.

He noted that the theme for the past year appeared to be a general lack of interest and enthusiasm by many members and stated we have seen a decrease in membership through apathy and a severe lack of communication and activities.

20. Terry stated the differences, in Victoria, between MMAA and VMMA.
VMAA – all masons, all Lodge related rides. Raised a lot of money for
charity, Canteen, Kids with Cancer. VMAA – also has page in Masonic
magazine for advertising. Their constant promotion through the magazine has
greatly assisted in their increased numbers in Victoria. MMAA was predominantly a social riding club with charitable tendency as a by-product, and not as a main function of the club.

21. How to increase membership – advertising, Masonic magazines, word of
mouth. Raise money for charities, community based. Rides with visibility.
Website needs to be reactivated and updated. Steven Lane designed website
for Vic Chapter – http://www.masonmotorcycles.com.au/. Wear shirts and lapel
pins. All chapters to donate $100 for Steven Lane to update and create a new National
website, which can be found at http://www.themmaa.com.au/

26. Paul Gimbert asked a new member, Peter Cochrane, why he chose to join our
Association.

27 Peter Cochrane replied that he had investigated joining the Vietnam Vets and
decided but found little to interest him. Had a late life crisis and brought a
motorbike, looked for an organisation with common interest – masonry – so
he joined us. Recreational activities, and bonding , like minded people.

28. It was generally asked -what could be done to increase membership?

29. Peter Cochrane suggested we use Freemason magazine to find out how many
masons have bikes. Create a data base and send newsletters whether members
or not.

30. Alison to send email list to Peter Cochrane so that he can report back to Terry
and Dot.

The meeting was held at the Buckenderra Holiday Village and commenced at 5.05pm.

Treasurers Report:

The Treasurers Report was unable to be tabled as there was no acting Treasurer at present; however Michael Lampadarios reported an income of $2,450.00 and expenditure of $1,795.00. The bank balance as at 22/1/04 was $655.00.

Michael Lampadarios advised that the income was derived from the sale of T shirts, name tags, badges, key rings and lapel pins etc.

General Business:

Michael Lampadarios advised that during 2003, two Associate members who joined the MMAA had become Freemasons.

Michael also advised of a Tamworth weekend ride where members supported Mathew Sanderson on his 3rd Degree. Pictures were tabled. While at Tamworth MMAA members were invited to participate in the Tamworth Music Festival Parade in support of Smokey Dawson. Arrangements would be made from February onwards. There are 2 members in Tamworth who own a 300 acre property who have offered to accommodate campers.

Michael also advised that 2003 saw the formation of a new NSW Chapter – Bombala. Paul Gimbett and Allan Talbot were the driving force. A second Central Coast Chapter is in the process of forming.

Michael asked Chapters to plan a ride calendar for weekends away etc. with all details, including venue, dates and numbers that could be relayed to him to enable the formation of a National Ride Calendar. Day rides could be organised on a more regular basis. This would mean that all members could be notified Australia wide. The details would be put on the website. It was planned for the website to be updated on a more regular basis. Michael advised that the Domain name registration had been renewed at a cost of $25.00 for another 2 years. Chris Tickner s wife would be the Newsletter Editor. The Newsletter would include the Ride Calendar and Road Rules.

Michael reminded members that Torrini Leathers offered a 10% discount to all MMAA members.

Cliff Hobson raised the question of public liability with regard to rides. As the rides were regarded as a mutual gathering of members there was no problem with public risk and liability. Terry Webster advised that the MMAA Victoria Chapter had been incorporated. Discussion centred on this topic with the result that Allison Gimbett would look into Incorporation of the National Body as she had experience with this with other organisations.

Cliff Hobson advised the Central Coast Chapter were doing some general charity work together with rides and displayed his black polo shirt with MMAA embroidered logo at a total cost of $43.00. There was discussion whether to have both a black polo shirt and long sleeve white business shirt (with MMAA logo and ability to wear bow tie) for official Lodge visits. Emphasis was placed on the white shirt for Lodge visits against the proportion of Associate members who would only wear the black. Cliff would show members a catalogue with prices.

Terry Webster asked Cliff Hobson to procure a cost for the 2004 Rally Patch. Pins were suggested instead of patches due to cost and display room on jackets. David Anthony and Colin Groves volunteered to design the 2004 Rally pin.

It was suggested to have all merchandise, regalia etc. centrally ordered by one member for all States.

Paul Gimbett suggested a change of wording on the application form “I pray for membership”. Terry Webster advised that the wording on the Victoria Chapter application form had been altered and would email a copy to Allison Gimbett to update the NSW application form accordingly.

Cliff Hobson circulated paper for all members to write their email addresses. Michael Lampadarios has all details on the National Register.

Allan Talbot advised an Omeo ride in February (possibly the 28th) and suggested that Bombala members might like to make it a weekend ride and invite Associate members for a Friends in the South.

David Anthony advised that country Lodges were not managing due to low numbers.

Allan Talbot replied that they had many new members with a growth of younger members.

Discussion centred on a location for the 2005 National Rally. The Bombala Chapter would decide on a venue (a point equidistant to all Chapters) and give at least 6 months notice. It was also suggested to move the Bombala Lodge meeting back by a few weeks to coincide with the 2005 National Rally to incorporate an official visit.

Ken Parsons suggested that the 2005 National Rally have an agenda of organised rides and activities so all members knew what was arranged for weekend.

Much discussion followed regarding the destination and route of the next days ride. It was decided to go to Charlottes Pass (approximately 200km return) leaving at 8.00am after the Group Photo. Members were asked to assemble at the front gate.

Terry Webster offered “cobbers” neck-ties to all interested members.

Treasurers Report:

Alison Gimbert reported a Bank Balance as at 7 September 2005 of $1,654.79. Alison advised that due to the cyclic distribution of National Australia Bank Statements she was only able to do her report from September 2004 to September 2005.

Terry Webster suggested the National Body get internet access to the accounts for the National Treasurer to be able to download relevant Bank Statements. Michael Lampadarios offered to organise same.

Presidents Report:

National President:

Michael Lampadarios reported that the MMAA had lost a few members due to being unfinancial and also due to relocation. Michael also advised there had been a little increase in the membership numbers.

Bombala President:

Paul Gimbert reported that a number of members were unable to attend the AGM due to illness and the extreme weather conditions.

Paul said that it had been a slow year regarding activities due perhaps to a lack of interest. Paul advised he is still trying to keep the membership enthused.

Central Coast/Sydney President:

Cliff Hobson advised that the CC/S Chapter had also lost a few members, younger members who had also dropped out of Lodge. Cliff reported that there were a few new members that had come along to their monthly meetings which were still held at the Bowling Club.

Cliff advised that riders participating on rides were charged $5.00 each which had gradually built up to a sizeable balance in the bank to enable the Chapter to donate funds to charity. The Chapter had also been selling shirts etc.

Cliff informed the meeting of members going to Camp Breakaway on a regular basis to give rides to the disabled. He hoped that there would be more new members next year.

Victoria President:

Grant Bates advised that the Victoria Chapter was still meeting regularly even though a few members had been lost due to relocation with work. Grant advised a few members had been struck off due to being unfinancial but there were new members joining to offset this. There had been semi regular rides organised. He was pleased to announce that there were 8 members from the Chapter attending the AGM. He also advised that one member, Steven Lane, had now joined the Craft.

General Business:

Membership:

Dot Marshall requested a minute to remove members (whose fees were 18 months overdue) from the membership register. It was suggested by Paul Gimbert that 18 months was be too long and that members should be deemed unfinancial after only 6 months. There was some discussion.

It was requested of the Secretary that all invoices be sent out in May, a month prior to the end of the financial year when they were payable.

Incorporation:

Members discussed “incorporation” issues in light of the fact that the Victoria Chapter has “incorporation” status. It was noted that the Victoria Chapter is the only “incorporated” Chapter of the MMAA. It was agreed unanimously that the National Body investigate the requirements etc. for investigating same.

Terry Webster raised the topic of Associate members and their ability to vote at meetings (where financial) but that they could not hold the principal positions within the Chapters and National body (i.e. President and Vice-President).

Terry Webster advised that the Victoria Chapter had their own website (organised by Steven Lane). The address was given as www.mmaavic.org.au.

Members had suggested holding the National Rally every two years, however Allan Mason suggested statutory requirements would likely dictate an annual meeting.

All members present voted unanimously to hold an annual rally. CARRIED

Members had suggested changing the running of the AGM from January to a later date as a result of the excessive hot weather conditions experienced. Terry Webster advised that as the Victoria Chapter were to organise the 2007 Rally then the Chapter would take all factors into consideration when considering a date and venue.

Terry Webster advised 2006 Rally Patches were available together with previous Rally Patches at a cost of $12.00 each.

Allan Mason suggested an event be held at the National Rally meeting to get more interested members i.e. an Observation Rally and also have something organised for female members and partners.

Terry Webster advised that the Victoria Chapter had held different events and rides to keep members interested.

Allan Mason went on to suggest a survey be sent to all members regarding ideas and activities together with a structured calendar – on a Chapter level.

Richard Black advised that the organising Chapter should be mindful of the time frame with regard to activities, as usually a 3 day weekend National Rally entails 2 days riding and a ½ day meeting so it would only leave one morning free.

Terry Webster suggested emailing the Survey then following up with phone calls. Terry advised the National Website was again up and running (www.masonicbikers.org) and all calendar events would be placed on this with a link for the Victoria members. Michael Lampadarios had renewed the domain name www.masonicbikers.com.

Roger Coates reinforced the National Road Rules and conduct of riding as per those adopted by the MMAA. Roger went on to say that the rules were to be adhered to without compromise. Richard Black suggested he didn’t like to adhere by the rules and wanted to be more flexible and not ride in such a regimented fashion. He also advised that common sense prevails and vehicles should be allowed to pass.

Cliff Hobson advised that the Lodge meeting would tile at 5.00pm with a meal in the South at approximately 6.00pm.
